The University of Georgia has established policies concerning the online publication of UGA academic course syllabi. In order to conform with these policies and to ensure the consistency and accuracy of our online documents, Computer Services has developed the following guidelines for the submission of class syllabus information:
- Only one document may be submitted for each class syllabus. We are required to post a single URL pointing to a single document for each class syllabus. Multiple documents submitted for a single class will be returned for editing into a single document.
- Syllabi must be submitted as Microsoft Word, plain text, or Adobe Acrobat (PDF) files. Documents in non-supported file formats will be returned for conversion.
- Syllabi submissions must be proofread in advance. We store these documents as PDF's which is not an editable format. If changes become necessary, they must be made in the original source document and resubmitted for conversion and uploading to our server.
- Submission naming convention: We are required by the Office of the Vice President for Instruction to follow a rigid naming convention.
Each submission name should contain 4 parts joined by underscores:
- 1. Department name - CHFD, FDNS, HACE, or TXMI (uppercase).
- 2. Course number.
- 3. Professor name. The last name followed by the first initial, all lowercase, are combined into one "string". For example, "John Smith" would become "smithj".
- 4. Date of the course - month (2 digit) combined with the last 2 digits of the year. Possible month values are: "01" ((spring semester), "05" (summer term), or "08" (fall semester). For example, "0804" or "0105
A correctly formatted file name might look like: FDNS_8550_smithj_0803.doc. Other examples of this naming convention may be viewed on the syllabi listing page.
