You have two listserv options: UGA and FACS. UGA listservs are defined by you and managed at listserv.uga.edu. FACS listservs are automatically defined based on the department and role you choose for yourself in the FACS directory.

Setting Listservs

We own several email lists that conveniently send to a list of people. The lists are formatted like:

  1. All
  2. Faculty
  3. Staff
  4. Graduate Students

Your profile in the directory determines which lists you're on.

Add/Edit Your Profile

Relevant Fields: Personnel Type, Departments, Status, Email

When viewing a profile in Expression Engine, you'll see fields Personnel Type and Departments. These determine your listservs. Examples:

  • If your department is TMI and your personnel type is staff, you'll be on TMI lists All + Staff. 
  • If your department is TMI and your personnel type is faculty, you'll be on TMI lists All + Faculty.

It's pretty intuitive.

You can also change the Options tab > Status field to:

  • Default: Be on listservs and in the directory (OPEN)
  • Take yourself off of listservs but remain in the directory (NOLISTSERV)
  • Take yourself out of the directory but remain on listservs (UNLISTED)

The Email field is naturally the email address that can send/recieve to the listservs. You may also define Alternate Email (near the bottom) for an additional email address with these abilities.

For Content Admins 

Defining Somebody Else's Listserv

Expression Engine (EE) content authors have access to change listservs of somebody else.

To make edits:

  1. Find the person's bio in the directory
  2. Click "Edit Page" at the bottom right of their page

If the person is not in the directory, you can go to Edit > Profiles in EE to find them.

If troubleshooting, it's worth verifying that their email is correct (Publish tab) and that Status is set correctly (Options tab).

Allowing Access to All Listservs

Content Admins can allow people in their department to be on all that department's listservs, e.g., tmi, tmigrad, tmistaff, tmifac. Check the "Can send to all listservs" field under Departments.

Checking if Somebody is on a Listserv

By checking the three fields referenced above--Personnel Types, Departments, Status--you can verify which lists somebody is on.

Checking Whether Somebody Got an Email

  1. Verify that the relevant fields above are correct
  2. Have this person check their email (have them search the subject of your email--that's faster than checking Spam)
  3. If #1-2 look good, email Jason Stair to check outgoing email logs, including the time/date and listserv name

Cleaning Up Unlisted People

Every semester you should remove people who no longer are in your department (directions). But the people of the UNLISTED status (who only want listserv ermails) don't show up in the directory. To view them, go to Edit > Profiles and change these settings at the top:

  1. status to UNLISTED or UNLISTEDR
  2. category to (your department)

You can then remove anybody who has left by clicking their entry and setting Options tab > Status field to Closed.
